Deposit order management

You can make several adjustment to an order that has been placed with a Downpay purchase option such as editing the payment due date, shipping fee, or refunding.

Payment statuses


There are several payment statuses you may see with Downpay orders.


  • Partially Paid - When an order has been partially paid at checkout
  • Pending Payment - When an order had a 0$ deposit at checkout
  • Paid - When the full total of the order has been collected


Fulfillment statuses


There are several fulfillment statuses you may see with Downpay orders


  • On hold - When using Days after checkout when setting a remaining balance due date
  • Scheduled - When using On a specific date when setting a remaining balance due date. This fulfillment status will automatically move to the Unfulfilled status on the specified date.
  • Unfulfilled - When an item in the order is able to be fulfilled, or when On hold have been disabled in Downpay.
  • Partially fulfilled - When an item in the order has been unfulfilled


Disabling the On Hold status


If you'd like to have all of your orders to come into Shopify as Unfulfilled instead of On hold, you can choose one of the following options:


  1. Enable a Shopify Flow to release holds as orders get created.



  1. Set Downpay's shipping setting to Charge one price for shipping. This option is useful when you also want to ensure that products purchased with Downpay do not charge extra shipping fees.

Orders with partially paid products


Taxes


Taxes are deferred on orders that only have partially paid products. In countries where tax is adding to the product, taxes are charged upfront.

Shipping fees are deferred on orders that only have partially paid products.


Orders with partially paid and pay in full products


Taxes


Taxes are charged on the deposit payment at checkout when the cart is mixed with partially paid products and products paid in full.

Shipping is charged on the deposit payment at checkout when the cart is mixed with partially paid products and products paid in full.


For Shopify stores that are not set to multicurrency, order editing can be used to edit shipping cost on orders.

Payment due date management


The payment due date is set in Downpay when creating purchase options. This date is used to define when the order's remaining balance is due.


By default, Downpay does not automatically collect payment on this date. The enable this feature, use our payment collection using Shopify Flow guide. This date can be used to send payment reminders


Changing the payment due date on an order


Manually


  1. Open the order you wish to adjust the payment due date on from the Shopify order index page in the admin.


  1. Scroll down to the payment section where you see Partially Paid and click ... and select Edit payment terms



  1. Set the new date using the Fixed date Payment term and click Save.


Shopify currently only supports one future payment date and one balance collection. For partial payment collection the remaining balance, contact us for our beta feature.

Changing the payment due date for future orders


To adjust the payment due date for future orders, simply adjust the date in the Downpay purchase option associated to the corresponding product(s).


  1. Navigate to Downpay and click the purchase option you wish to modify.
  2. Scroll down to the Deferred payment due date section and set a new date or days after checkout.


If you would like to change the date type, please create a new purchase option in Downpay.

Order editing


Order editing is available for most stores on Shopify. Currently some of the Shopify order editing functionality is not compatible with partial payments. Below are ways to manage certain scenarios with these limitations.


Removing products from an order



Navigate to the specific order you need to modify, click Edit at the top right and click adjust quantity and use the down arrow to lower the quantity. Shopify will modify the future payment balance to reflect the new quantity.


Shopify will not refund the deposit for the item that was removed, instead they will use the funds to pay off a portion of the future payment and issue a refund if the deposit is greater than the remaining due amount.


Fulfilled items can’t be edited.


Adding products to an order


Add items to an order.


  1. Navigate to the order you wish to edit


  1. Click Edit at the top right and add items from your catalog or using the custom items button. The cost of the product will be added to the future balance due.


Adding a discount on a line item


Order editing now supports adding discount per line item on an order.


Changing a discount on a line item


  • If the discount was attached using order editing, simply adjust the discount with the Edit discount option in order editing in the Shopify admin.


  • If the discount was attached at checkout by the customer, it's not possible to adjust the discount.

Order editing now supports adding and removing shipping fees on an order.

Refunds


Currently Shopify cannot refund just a deposit or just a future payment. The total is treated as one entity and can lead to strange behaviour for orders with deposits. Below are some tips to navigate refunds on Shopify.


Refunding shipping


When offering discounted shipping, use the Refund Shipping section of the Shopify refund page.


Refunding portions of products


When offering a refund for a portion of the price of the product, use the Summary section of the Refund page to apply a custom refund amount and do not adjust the quantity of the product.


We discourage use of refunding to adjust the quantity of products in an order with deposits as the refund is not deposit or future payment specific and can cause discrepancies such as Paid by Customer not reflecting any refunded amounts and overcharging taxes and having to file a second refund.

Draft Orders


Currently, Shopify does not support app based deposits or partial payments on draft orders. We have several [workarounds]() why we wait for this limitation to be removed.
